The client handled thousands of weighbridge tickets and bills of lading(B/L) every week across three countries and multiple storage sites. Under ISCC requirements, they needed to:
· Maintain accurate mass balance between certified and non-certified material.
· Reconcile incoming and outgoing movements across numerous supply contracts.
· Ensure every outgoing shipment had a Sustainability Declaration (SD) aligned with the B/L.
· Record GHG values using distance-based emissions factors.
Previously, these tasks required heavy manual data entry from PDFs and photos, cross-checking documents per contract, and repeated supplier follow-ups to fix missing fields or typos.
RIMBA deployed its AI automation pipeline to ingest unstructured documents, extract critical data into a normalized schema, reconcile movements, and manage ISCC mass balance end-to-end.
First, we connect the sources e.g. email andSharePoint, then define the spreadsheet template and master data for contracts, supplier certificates, and warehouses. Our AI parses PDFs and images, automatically maps fields into the client’s template, and matches each record to the correct contract before running completeness and discrepancy checks and queuing any exceptions for review. With the data stabilized, we maintain a continuous ISCC mass balance, tracking certified and non-certified stock by location and period. Finally, for every outgoing movement, we calculate distances, apply the appropriate emission factors to generate shipment-levelGHG values, and produce the corresponding Sustainability Declarations.
Ingests PDFs and images of weighbridge tickets, B/Ls, and supplier sustainability declarations via email dropboxes,SFTP, or portal upload. OCR + vision models handle scanned faxes, cameraphotos, stamps, and handwritten fields.
Converts unstructured documents into a templated spreadsheet and system-of-record tables (Shipment, Ticket, Contract,Storage Lot, SD, Transport Leg). Extracted fields include:
· Weighbridge Ticket: site ID, ticket no.,date/time, vehicle ID, gross/net/tare, material type, origin mill, operator,contract no.
· Supplier Sustainability Declaration: supplier identity,ISCC certificate, material category, certified volume, validity dates.
Matches all incoming tickets to the correct supply contract (mill or secondary aggregator) using fuzzy keys(contract no., supplier name variants) and contextual cues (material, dates, warehouse). Rimba’s platform aggregates ticket-level volumes and aligns them with contracted quantities; flags over/under-delivery.
· Missing field checks: e.g., absent date, missing contract number, typos in contract IDs, or blank material codes.
· Discrepancy flags: e.g., contract for 1,000 metric ton (MT) POMEs. receipts totaling 950 MT.
· Supplier feedback loops: auto-generated exception lists to request revised documents from mills.
· Separates and tracks certified vs. non-certified inflows by each storage facility and time period.
